Terms of Service

1. Agreement
These Terms govern your use of PhysioPro, a practice management platform for physiotherapy clinics, provided by PhysioPro, West Yorkshire, United Kingdom (full registered company details to be added once formally incorporated) ("we", "us"). By creating an account or using a free trial, you agree to these Terms on behalf of yourself and, if applicable, your clinic.
2. The service
PhysioPro provides patient record management, appointment scheduling, clinical note-taking (SOAP format), invoicing, and a patient self-service portal, on a subscription basis (Solo, Clinic, Clinic Pro plans, or as otherwise agreed). Features and pricing may change with reasonable notice.
3. Your account & responsibilities
- You're responsible for keeping login credentials secure and for activity under your account
- You must have a lawful basis to enter any patient data you store in the platform
- You remain responsible, as the data controller for your patients' health records, for compliance with UK GDPR, HCPC standards, and any other regulatory obligations applicable to your practice
- You agree not to misuse the platform (e.g. attempting to access other clinics' data, reverse engineering the software, or using it for unlawful purposes)
4. Free trial & subscriptions
Free trials last 14 days unless stated otherwise, require no card upfront, and can be cancelled anytime without charge. Paid subscriptions renew monthly and can be cancelled at any time, effective at the end of the current billing period. [Confirm refund policy, if any, once decided.]
5. Data ownership
You (the clinic) own the patient and clinical data you input. We act as your data processor and will not use, sell, or share this data other than as needed to provide the service, as described in our Privacy Policy.
6. Availability & support
We aim for high service availability but do not guarantee uninterrupted access. [Add a specific SLA here if you're offering one, e.g. for Clinic Pro's "SLA guarantees" feature mentioned on the pricing page — this needs concrete numbers to be enforceable.]
7. Limitation of liability
To the maximum extent permitted by law, PhysioPro is not liable for indirect or consequential losses. [This section in particular needs proper legal drafting — liability caps for a system handling health records carry real regulatory and reputational weight, and generic template language is not advisable here.]
8. Termination
Either party may terminate the agreement as set out in the applicable subscription terms. On termination, you may export your data within [X days] before it is deleted from our systems, subject to any legal retention requirements.
9. Changes to these Terms
We may update these Terms from time to time. Material changes will be communicated by email or in-app notice before taking effect.
